Privacy Policy

Effective Date: September 28, 2025
Last Updated: September 28, 2025

1. Introduction and Scope

This Privacy Policy (the “Policy”) is intended to describe the practices of UniProAI (“we,” “our,” or “us”) regarding the collection, use, disclosure, and safeguarding of information in connection with the provision of our advanced AI-powered services, websites, and any related software or applications (collectively, the “Services”). We are deeply committed to upholding the highest standards of privacy and security for our valued clients, their end-users, and all visitors.

This Policy applies to two distinct categories of information: (i) information for which we act as a Data Controller, which includes data related to account management, billing, and our direct marketing activities (“Account and Usage Data”), and (ii) information for which we act as a Data Processor on behalf of our clients, which includes all content and data submitted to our Services for processing (“Service Data”). Our respective obligations for each category are governed by this Policy and our contractual agreements with our clients.

2. Information We Collect

In the course of providing our Services, we collect information that is functionally necessary for operation, maintenance, and improvement. This information is categorized for clarity as follows:

  • 2.1 Account and Profile Information To establish and maintain a commercial relationship, we may collect personal information when you create an account or otherwise interact with us. This information includes, but is not limited to, full name, business contact details such as email address and phone number, company affiliation and title, and financial information for payment and billing purposes. Furthermore, we collect and store account credentials, user-defined preferences, and authentication data required for secure access to the Services.
  • 2.2 Service Data (Client-Provided Content) We collect and process the content that you and your authorized users create, upload, submit, or otherwise make available through our Services (“Service Data”). This data can encompass a wide variety of information, including but not limited to, text, documents, reports, images, multimedia files, user-generated feedback, and any subsequent output, suggestions, or analyses generated by our AI systems based on this input. It is a critical tenet of our service that you, the client, remain the Data Controller for all Service Data. Consequently, you retain all intellectual property rights and ownership of said data.
  • 2.3 Usage and Technical Information When you interact with our Services, our servers automatically collect certain technical and usage metadata. This information includes internet protocol (IP) addresses, browser type and version, operating system, device identifiers, referring and exit pages, timestamps, and data about your interaction patterns with our Services (such as features utilized and time spent). This data is collected through various technologies, including server log files and cookies, as further detailed in our Cookie Policy.

3. How We Use Information

The utilization of all collected information is strictly limited to the legitimate business purposes for which it was originally collected, ensuring that our practices are both responsible and transparent.

  • 3.1 To Provide, Maintain, and Improve the Services
    • We use Account Information to administer your account, facilitate the processing of transactions, provide customer support, and communicate essential service-related notices, including updates and security alerts.
    • We use Service Data exclusively to perform the Services as contractually agreed upon and as directed by you. This processing is integral to the functionality of our AI tools, enabling the generation of outputs, data analysis, and other features you have subscribed to.
    • We utilize Usage Information for internal analytical purposes, such as monitoring service performance and stability, optimizing user experience, enhancing our security infrastructure, and preventing fraudulent or unauthorized activities.
  • 3.2 AI Model Training – Our Commitment to You It is the strict and unwavering policy of UniProAI that we do NOT use your proprietary Service Data to train, retrain, or otherwise enhance our general-purpose, multi-tenant AI models. Your content, in its entirety, remains your confidential and proprietary information. We may, from time to time, utilize fully anonymized and aggregated Usage Information, which is devoid of any personal or confidential data, for the sole purpose of service improvement, performance tuning, and statistical analysis.

4. Legal Basis for Processing (For GDPR, DPDPA, and other applicable regulations)

Our legal basis for collecting and using the personal information described in this Policy will depend on the specific information concerned and the context in which we collect it. We primarily rely on the following:

  • Performance of a Contract: The majority of our processing is necessary to fulfill our contractual obligations as stipulated in our Terms of Service.
  • Legitimate Interests: We process certain information in furtherance of our legitimate business interests, such as for maintaining the security of our Services and for service improvement, provided that these interests are not overridden by your fundamental data protection rights.
  • Consent: In specific circumstances where required by applicable law, we will obtain your explicit consent prior to the collection and processing of your information for a specified purpose. You retain the right to withdraw this consent at any time without affecting the lawfulness of processing based on consent before its withdrawal.

5. Information Sharing and Disclosure

We do not sell, rent, or trade your personal information. The sharing of your information is restricted to the following limited circumstances:

  • With Service Providers: We engage trusted third-party companies and individuals to perform services on our behalf (e.g., cloud infrastructure providers, payment processors, analytics services). These sub-processors are contractually obligated to adhere to strict confidentiality and data protection terms and are only permitted to process data as instructed by us.
  • To Comply with Legal Obligations: We may disclose your information if we believe in good faith that it is required by applicable law, regulation, legal process, or a valid governmental request.
  • To Protect Rights and Property: We may disclose information where we believe it is necessary to protect the rights, property, integrity, or safety of UniProAI, our clients, our users, or the public.
  • Business Transfers: In the event of a merger, acquisition, reorganization, or sale of assets, your information may be transferred as part of the transaction. We will provide notification of any such deal and outline your choices in that event.

6. Data Security and Retention

  • Security: We have implemented and maintain a robust program of technical and organizational security measures designed to protect the information we process from unauthorized access, alteration, disclosure, or destruction. These measures include, among others, data encryption in transit and at rest, network security controls, and strict access controls. Despite these measures, no method of transmission over the internet or method of electronic storage is 100% secure.
  • Retention: We will retain personal information for a period that is no longer than necessary to fulfill the purposes for which it was collected, as outlined in this Privacy Policy, and to comply with our legal obligations, resolve disputes, and enforce our contractual agreements.

7. Your Data Protection Rights

In accordance with applicable data protection laws in your jurisdiction (including but not limited to India’s DPDPA, the EU’s GDPR, and California’s CCPA/CPRA), you may be entitled to the following rights regarding your personal information:

  • The right to access, correct, or update the information we hold about you.
  • The right to request the deletion (erasure) of your personal information.
  • The right to object to or request the restriction of processing of your information.

To exercise any of these rights, please submit a verifiable request to us using the contact details provided below.

8. International Data Transfers

Your information may be transferred to, and processed in, countries other than the country in which you are resident. These countries may have data protection laws that are different from the laws of your country. We ensure that appropriate safeguards, such as the execution of Standard Contractual Clauses or reliance on adequacy decisions, are in place to protect your information when it is transferred internationally.

9. Children's Privacy

Our Services are not intended for or directed at individuals under the age of 18 (or the age of legal majority in their jurisdiction). We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected such information, we will take steps to delete it as soon as possible.

10. Changes to This Privacy Policy

We reserve the right to modify this Privacy Policy at our discretion and at any time.
